Bidirectional sync with default field mappings. Lifecycle stage filtering recommended to avoid syncing marketing-only leads to ConnectWise. Record merges in HubSpot break sync links and create duplicates/orphaned tickets in ConnectWise.

When a ConnectWise opportunity status is updated, that record becomes locked and HubSpot can no longer modify it.

Eight Things the Sync Does Not Tell You

Each one is documented, and each one has ended a migration in a bad week.

Opportunity Financial Data Does Not Sync

The most significant limitation: ConnectWise opportunity financial data (deal values, forecast amounts, MRR) does not transfer to HubSpot via the native integration. Deals appear as $0 in HubSpot. The Forecast amount cannot be mapped.

Workaround: Use third-party middleware (SyncSmart, strutoIX) or custom integration to map financial fields. Some users manually update deal amounts in HubSpot.

Cannot Sync to ConnectWise Custom Fields

HubSpot can only sync data to standard ConnectWise fields: not custom fields. Custom HubSpot data must map creatively into standard ConnectWise fields or won't transfer at all.

Workaround: Map custom data into standard ConnectWise fields where possible. Accept data loss for fields with no standard equivalent, or use middleware.

ConnectWise Record Locking Breaks Sync

When a ConnectWise opportunity status is updated, that record becomes locked. HubSpot can no longer modify locked records and may log sync errors.

Workaround: Design workflow so status updates happen in HubSpot first and propagate to ConnectWise, not the reverse.

Two-way Sync Creates Duplicate Records

When bidirectional sync is initially enabled without proper deduplication rules, it can create thousands of duplicate companies in ConnectWise. Record merges in HubSpot delete old record IDs, breaking sync links and creating duplicates plus orphaned tickets.

Workaround: Use lifecycle stage filters to control which records sync. Never merge records in HubSpot without understanding sync implications. Start with one-way sync and validate before enabling bidirectional.

Pipeline Stage Misalignment

HubSpot allows multiple pipelines but ConnectWise has a different stage model. Syncing multiple HubSpot pipelines to ConnectWise creates duplicate or conflicting records. Best practice is to use a single pipeline mirroring ConnectWise opportunity stages.

Workaround: Use a single HubSpot pipeline that mirrors ConnectWise opportunity stages exactly.

Products/quotes Don't Sync From Opportunities

The top level of ConnectWise opportunities syncs across, but there's no way to sync the products/line items to or from a HubSpot quote.

Workaround: Manually recreate product line items in the destination system, or use QuoteWerks or similar CPQ middleware.

Service Ticket Sync Is Limited

Service ticket sync between ConnectWise and HubSpot is available but limited. Ticket status changes can sync but full ticket details, conversation history, time entries, and SLA data require middleware or custom integration.

Workaround: Use dedicated middleware (SyncSmart, strutoIX) for comprehensive ticket sync, or build custom API integration.

Agreement Data Requires Custom Object Mapping

ConnectWise agreement data (MRR, agreement type, end date) must be mapped to custom properties or a dedicated custom object in HubSpot. No standard HubSpot object matches the ConnectWise agreement concept.

Workaround: Create custom HubSpot object or custom properties to store agreement data. Use middleware for real-time sync.

Twenty ConnectWise PSA (Manage) Features HubSpot Cannot Replace

Not a workaround away. If a client depends on one of these, it belongs in the conversation before the contract.

Dispatch Portal

HubSpot has no visual dispatch or resource scheduling interface. No drag-and-drop technician assignment calendar. Third-party scheduling tool needed.

Commissions

HubSpot has no native commission management. Third-party tools (CaptivateIQ, Spiff, etc.) or custom calculation needed.

Time Entries

HubSpot has no native time tracking system. Basic activity logging exists but no billable time, work types, or agreement-linked time tracking. Third-party tool needed (Harvest, Toggl, HaloPSA).

Expense Entries

HubSpot has no expense tracking. Requires third-party tool (Expensify, Ramp, Concur).

Timesheets

No HubSpot timesheet functionality. Third-party time tracking tool needed.

Agreements (Contracts/Recurring Revenue)

HubSpot has no native agreement/contract management for MSP-style recurring service agreements. Deals can track recurring revenue but lack agreement structure (covered hours, additions, SLA binding). Custom objects possible but limited.
