People (Contacts/Leads)
Two wayBecomes Contact
Default matching by email address. All records sync by default; can filter by assigned agent, stage, tags, and other properties. Contacts without email addresses are excluded by default (toggle available to include them). Contacts cannot be deleted by sync: must be deleted in both systems.
Deals

Deal sync supported. Real estate-specific deal properties (property address, price, transaction type) may require custom field mapping.
Eight Things the Sync Does Not Tell You
Each one is documented, and each one has ended a migration in a bad week.
Action Plans Do Not Transfer
Follow Up Boss Action Plans (automated drip emails, task assignments, and autoresponders for new leads) are the platform's core automation feature. These do not sync or transfer to HubSpot.
Workaround: Recreate action plans as HubSpot Workflows (Automation > Workflows). Map each action plan's email drips, wait steps, task assignments, and branching logic to equivalent HubSpot workflow actions.
Smart Lists Do Not Transfer
Follow Up Boss Smart Lists are dynamic saved searches that surface leads showing the most intent each day. These filter configurations do not sync to HubSpot.
Workaround: Recreate Smart Lists as HubSpot Active Lists or Saved Views/Filters with equivalent criteria (stage, last activity date, assigned agent, tags).
Drip Campaign Email Templates and Sequences Do Not Transfer
Email drip campaigns and their template content, timing sequences, and performance metrics do not migrate from Follow Up Boss to HubSpot.
Workaround: Export or screenshot drip email content from Follow Up Boss. Recreate as HubSpot email templates and sequences/workflows.
Call Recordings, Texting History, and Communication Logs Have Limited Transfer
Follow Up Boss includes a built-in dialer, phone system, and texting. Call recordings, SMS history, and detailed communication logs may not fully sync to HubSpot.
Workaround: Export call and text logs from Follow Up Boss. Import as HubSpot engagement activities via API. Call recordings may need separate storage.
Address Properties May Sync One-way Only
HubSpot structures address as a single-line text property while Follow Up Boss may format addresses differently. Due to formatting discrepancies, address properties may only sync one-way from Follow Up Boss to HubSpot.
Workaround: Verify address field mapping direction after setup. Manually correct any formatting issues.
Phone Numbers Beyond Primary, Mobile, and Fax Do Not Sync
Only the first phone number syncs to HubSpot's Phone Number property. Additional numbers sync only if labeled as Mobile or Fax.
Workaround: Map additional phone numbers to custom HubSpot properties.
Pond (shared Lead Pool) Does Not Transfer
Follow Up Boss's Pond feature (a shared lead pool where agents can claim unclaimed leads) has no direct HubSpot equivalent.
Workaround: Recreate pond-like functionality using HubSpot lead rotation/round-robin assignment, unassigned lead views, or custom deal pipelines.
Lender and Team Partner Configurations Do Not Transfer
Follow Up Boss allows configuring lender partners and co-branding for real estate teams. These partnership structures and notification rules do not migrate.
Workaround: Recreate partner notification workflows in HubSpot. Use custom properties to tag lender-associated leads.
One Follow Up Boss Feature HubSpot Cannot Replace
Not a workaround away. If a client depends on one of these, it belongs in the conversation before the contract.
IDX Website Integration
HubSpot has no IDX/MLS integrations. Real estate website platforms would need custom API integration to sync data with HubSpot. This is a significant gap for real estate teams.
