The Four Objects That Sync Natively
What the connector moves for you, and which way each one flows.
Leads
Two wayBecomes Contacts
Freshsales Leads sync to HubSpot as Contacts. Only records with valid email addresses will sync - records without email are silently excluded and not logged. Configurable to sync both Leads and Contacts, leads only, or contacts only.
Contacts
Two wayBecomes Contacts
Freshsales Contacts also map to HubSpot Contacts. Both are synced as the same HubSpot object type.
Accounts
Two wayBecomes Companies
Company sync available via the Freshsales Suite data sync app.
Deals
Two wayBecomes Deals
Deal sync requires an accompanying contact and/or company sync to maintain associations.
Eight Things the Sync Does Not Tell You
Each one is documented, and each one has ended a migration in a bad week.
Records Without Email Addresses Are Silently Excluded
All records must have valid email addresses to sync. Records without emails are excluded silently and are not logged in error reports, making it easy to miss migrated data gaps.
Workaround: Audit Freshsales data before migration to identify records without email. Export these separately and import via CSV.
Notes and Files Do Not Sync Natively
Notes, file attachments, and documents connected to Freshsales records are not part of the native sync between Freshsales and HubSpot.
Workaround: Migrate notes and files separately via API, CSV import (for notes as activities), or third-party migration tools.
Activity History (calls, Meetings, Emails) Does Not Sync
Call logs, meeting records, email history, and other activity data from Freshsales do not transfer through the native sync integration.
Workaround: Export activity data from Freshsales and import via HubSpot API. Third-party tools like MigrateMyCRM can handle activity migration.
Default Sync Frequency Is Twice Daily
Unlike real-time sync available in some other HubSpot data sync integrations, the Freshsales sync runs twice daily by default. Manual sync is available but must be triggered manually.
Workaround: Use the manual 'Start sync' button for immediate synchronization when needed.
Dropdown Fields Require Choice-level Mapping
Dropdown/picklist fields require mapping at the individual choice level, not just the field level. This is tedious for fields with many options.
Workaround: Plan dropdown mappings in advance. Document all choice values in both systems before configuring the sync.
New Custom Fields Require Manual Refresh
When new custom fields are created in either system, they do not automatically appear in the mapping interface. A manual refresh is required.
Workaround: After creating new custom fields, refresh the integration mapping interface before configuring the new field sync.
Mandatory Fields Must Be Mapped Before Sync Activation
The sync cannot be activated until all mandatory/required fields in both systems are properly mapped. The 'Start sync' button remains disabled until this is complete.
Workaround: Identify all mandatory fields in both Freshsales and HubSpot before configuring the integration.
Freshsales Telephony Data Requires Reconfiguration
Freshsales' built-in telephony features (call logs, recordings, notes, activity timelines) are a major feature for many teams. This data forms the backbone of sales reporting and does not transfer to HubSpot.
Workaround: Reconfigure calling infrastructure in HubSpot. Export call logs and import as activities via API. Recordings may need to be stored externally.
The 36 Items That Get Rebuilt by Hand
This is the list that separates a quote that holds from one that does not.
Data And Objects
Notes and Annotations
Free-text notes on Freshsales records.
HubSpot: Notes on the record timeline
A second import pass after the records land.
File Attachments and Documents
Files attached to records.
HubSpot: Attachments on records
Pulled through the API and re-associated after the records exist.
Call Logs and Recordings
Activity and audio from Freshsales' built-in telephony.
HubSpot: Logged calls, with recordings held externally
Recordings are files rather than CRM data. Keeping an archive outside HubSpot and linking to it is usually cheaper than moving them.
Email Conversation History
Email threads logged against records.
HubSpot: Logged email on the timeline
Reconnecting the mailbox to HubSpot recovers recent threads more cheaply than extraction.
Meeting Records
Logged meetings and outcomes.
HubSpot: Meetings on the timeline
Reconnecting calendars recovers upcoming meetings. Only past meetings need extraction.
Activity Timelines
The consolidated activity trail on a record.
HubSpot: The record timeline
Rebuilt from its parts rather than moved as one thing. Timeline completeness is the most over-promised item in a CRM migration.
Custom Module Data
Records held in Freshsales custom modules.
HubSpot: Custom objects
Confirm custom objects are available on the plan being bought. Where they are not, the data has to collapse into properties, which changes the data model rather than just the import.
Records Without Email Addresses
Records the connector skips because they carry no email.
HubSpot: Contacts, imported by another key
Excluded silently. Count them before the migration rather than after.
Automation
Workflow Automations
Freshsales rules raising alerts and creating tasks.
HubSpot: Workflows
Rebuilt rule by rule, after pipelines and properties exist.
Sales Sequences and Cadences
Multi-touch outbound follow-up.
HubSpot: Sequences
Enrolment is per rep and per mailbox, and sending limits differ from Freshsales.
Auto-assignment Rules
Rules routing records to owners.
HubSpot: Workflow rotation actions
Users and teams first, then test distribution with real records.
Lead Scoring Rules
The criteria Freshsales uses to score leads.
HubSpot: Score properties
Rebuilt from scratch. The available signals differ, so the old weights are a hypothesis rather than a spec.
Territory Management Rules
Rules assigning records by territory.
HubSpot: Properties plus workflow-based assignment
No territory object in HubSpot. Design the property before the rules.
Time-based Workflow Triggers
Rules firing after a period rather than on an event.
HubSpot: Workflow delays and date-based enrolment
Test the timing against real records: delay semantics differ between the two.
Reporting
Custom Reports and Analytics
Saved report definitions over Freshsales data.
HubSpot: Custom reports
Rebuild from the question each answers rather than the layout.
Dashboard Configurations
Saved dashboard layouts.
HubSpot: Dashboards
Build after the reports exist.
Sales Forecasting Reports
Forward-looking revenue reporting.
HubSpot: Forecasting
A configuration job first: amount, close date and stage probability all set deliberately.
Pipeline Velocity Reports
How quickly deals move between stages.
HubSpot: Deal velocity reporting
Needs stage history, which the import does not carry. Expect it to build from cutover forward.
Activity and Productivity Reports
Per-rep activity reporting.
HubSpot: Activity reports
Owner must resolve to a real HubSpot user or everything attributes to nobody.
Revenue Analytics
Closed revenue reporting.
HubSpot: Deal reports
Depends on a clean deal import. Fix that first.
Sales And Marketing Config
Pipeline Stages and Deal Stage Mapping
Freshsales pipelines and the stages within them.
HubSpot: Deal pipelines and stages
Build first. Everything downstream depends on it.
Lifecycle Stage Alignment
Mapping Freshsales lead and contact statuses onto HubSpot's lifecycle model.
HubSpot: Lifecycle stage and lead status properties
HubSpot's lifecycle stage only moves forward by default, so a status model that moves backwards needs deliberate handling. Agree the mapping before the import, because correcting it afterwards means reprocessing every record.
Email Templates and Snippets
Reusable message templates.
HubSpot: Email templates and snippets
Rebuilt by hand, with token names changing.
Web Forms and Landing Pages
Freshsales forms and hosted pages capturing leads.
HubSpot: Forms and landing pages
Rebuilt, and every embed swapped at cutover or leads keep arriving in the old system.
Chat Widgets and Bot Configuration
On-site chat and its automated flows.
HubSpot: Live chat and the chatbot builder
The widget swaps easily; the routing and bot logic behind it is the real work.
Product Catalogue
Products attached to deals.
HubSpot: Products and line items
Import before the deals or line items have nothing to attach to.
CPQ Configuration
Freshsales quoting and pricing rules.
HubSpot: Quotes, or a marketplace CPQ product
HubSpot quotes cover simple pricing. Configurable products, approval rules and discount logic usually need a dedicated product, which is a purchase decision before it is a build task.
Users And Permissions
User Roles and Territory Assignments
Logins, their access levels and the territories attached.
HubSpot: Users, permission sets and territory properties
Roles and territories are one setting in Freshsales and two concepts in HubSpot. Separate them before building either.
Record Visibility and Sharing Rules
Who can see and edit which records.
HubSpot: Record access settings
Confirm what genuinely needs restricting before reproducing old rules.
Team Hierarchy
The reporting structure Freshsales uses for rollup reporting.
HubSpot: Teams, including parent teams
Hierarchical rollup depends on the team structure being built as a hierarchy rather than a flat list, which is easy to get wrong first time.
Profile-level Permissions
Fine-grained field and module permissions.
HubSpot: Permission sets
HubSpot is less granular at the field level. Where a field is genuinely sensitive, confirm the control exists before promising it.
Integrations
Marketplace App Connections
Freshsales apps joined to other tools.
HubSpot: App Marketplace integrations
Inventory what is genuinely used before pricing replacements.
Freshworks Ecosystem Integrations
Links to Freshdesk and the rest of the Freshworks suite.
HubSpot: The equivalent HubSpot hubs
These are neighbouring products rather than integrations. If the client runs several, the migration is wider than the CRM and should be scoped that way.
Calendar Sync
Google or Microsoft calendar connection.
HubSpot: Calendar integration and the meetings tool
Per user, not once for the account.
Telephony Integrations
Third-party voice providers connected to Freshsales.
HubSpot: HubSpot calling or a marketplace provider
Confirm the provider has a HubSpot integration before the contract.
Zapier and Make Automations
External automation scenarios connected to Freshsales.
HubSpot: Updated scenarios or native workflows
Each needs editing on both sides. Some are better replaced by a native workflow.

Effort Estimator
How Big Is This Migration?
A handful of questions, no email required. The ranges come from the research above: every feature we mapped carries an effort figure, and this adds up the ones that apply to you.
Estimated Effort
Answer a couple of questions and an hours range appears here.
Built from our research on 48 Freshsales Suite features. It is a range, not a quote.
A planning range, not a quote. It is delivery effort only, with no project management line and no agency markup, so add your own. What moves it most in practice is data quality.

Questions
Freshsales Suite To HubSpot, Answered
Yes. Data sync, two way, covering 4 objects. What it does not do is rebuild configuration: that is the 36 items below.
Typically 3-6 weeks. Complexity is driven by automation and reporting depth, not by record count: the connector moves records, so a large database is not by itself a long project.
Of 48 features we mapped, 37 (77%) carry across directly and 11 (23%) map partially, meaning something is lost or reshaped. 0 have no HubSpot equivalent at any tier.
36 items have to be rebuilt by hand, and 8 documented limitations are not surfaced by the connector at all. The full list of both is on this page.
Free for default mappings. Data Hub Starter or higher for custom field mappings. Both Freshsales (classic) and Freshsales Suite have separate marketplace listings.
Only in one direction. The sync is not bidirectional here, so a parallel period means picking a system of record and accepting drift in the other.
