Agency Migration Guide
Ontraport to HubSpot Migration
What actually transfers, what quietly does not, and what has to be rebuilt by hand.
We mapped Ontraport against HubSpot feature by feature: 40 features, 4 synced objects, 8 documented traps and 45 items that have to be rebuilt. The whole map is on this page, ungated.
The PDF is the same reference, formatted to send to a client.
Get The Guide And The Calculator
The full Ontraport to HubSpot reference as a branded PDF you can send straight to a client, plus the Excel calculator we scope these migrations with: every one of the 40 features as a row, enter your counts, get hours.
Three files: the guide as a PDF, the same guide unbranded in Markdown for your AI tool, and the full Excel effort calculator.
Ontraport to HubSpot is a high migration, typically 8-12 weeks. Of 40 features we mapped, 21 carry across as they are and 15 land with something lost. The work is not moving records: it is the 45 items nothing moves for you.

The Four Objects That Sync Natively
What the connector moves for you, and which way each one flows.
Contacts
Two wayBecomes Contacts
Two-way contact sync with default field mappings. Custom mappings available with Data Hub Starter+.
Companies
Two wayBecomes Companies
Two-way company sync. Required for deal sync.
Deals/Opportunities
Two wayBecomes Deals
Two-way deal sync. Accompanying contact and/or company sync required. Pipeline stage mapping needs configuration.
Products
Two wayBecomes Products
Listed as a shared object on the app's HubSpot marketplace listing (read 2026-07-31). HubSpot publishes 3 default field mappings for it.
Eight Things the Sync Does Not Tell You
Each one is documented, and each one has ended a migration in a bad week.
Automation Campaigns Do Not Sync
Ontraport's visual campaign builder sequences, triggers, goals, and automation logic cannot be transferred to HubSpot. Ontraport's automation engine is more sophisticated than HubSpot's in several areas (particularly around payment triggers and conditional branching), making recreation challenging.
Workaround: Document all Ontraport campaigns with full logic maps. Rebuild in HubSpot workflows. Some complex sequences may need simplification or workarounds. Consider hiring a HubSpot partner for complex automation translation.
Membership Site Features Are Only Partly Covered
Ontraport's native membership site builder, course delivery system, and dynamic CMS (no record limits) have no direct equivalent in HubSpot. HubSpot's dynamic tables max out at 10,000 records, making it unsuitable for large membership portals.
Workaround: Migrate membership site to a dedicated platform (Kajabi, Teachable, MemberPress, Thinkific) and integrate with HubSpot. Use HubSpot Content Hub for marketing pages only.
Native Payment Processing Does Not Transfer
Ontraport's CRM-native payment processing covers subscriptions, payment plans, free trials, invoicing, refunds and post-purchase automations. HubSpot Revenue Hub covers payment links, quotes, invoices, subscriptions and discount codes, so the core billing objects do exist, but it is region-restricted and has no equivalent for one-click upsells, order fulfilment or payment-plan automation of the same depth.
Workaround: Move payment processing to Stripe (or similar) and connect to HubSpot. Use HubSpot Revenue Hub for basic payment links. Rebuild subscription management using Stripe Billing + HubSpot workflows.
Affiliate/partner Program Management Not Available in HubSpot
Ontraport includes built-in affiliate management with commission tracking, referral links, and partner portals. HubSpot has no native affiliate management.
Workaround: Migrate to a dedicated affiliate platform (PartnerStack, Impact, Tapfiliate) and integrate with HubSpot.
Landing Pages and Checkout Flows Require Complete Rebuild
Ontraport's page builder (which handles landing pages, sales pages, checkout flows, and upsell/downsell pages in a single tool) does not export to HubSpot. All pages must be rebuilt.
Workaround: Export page content/copy for reference. Rebuild in HubSpot Content Hub or use a dedicated landing page tool (Unbounce, Instapage). Checkout flows need separate solution (Stripe Checkout, ThriveCart).
Ontraport's Flexible Object Relationships Limited in HubSpot
Ontraport supports one-to-one, one-to-many, and many-to-many relationships natively. HubSpot custom objects are limited to many-to-many relationships, which may not accurately represent the original data structure.
Workaround: Redesign data model for HubSpot's relationship constraints. Use association labels and custom properties to preserve relationship context.
Tag Management and Migration Complexity
Ontraport uses tags extensively for segmentation and automation. Tags cannot be renamed in Ontraport and lack description boxes, often leading to messy tag structures that complicate migration.
Workaround: Audit and categorize all tags before migration. Map to HubSpot properties, lists, or lifecycle stages based on function.
Complex Custom Field Types May Not Map Cleanly
Ontraport custom field types and multi-value fields may not have direct HubSpot property equivalents.
Workaround: Create custom HubSpot properties before migration. Use data transformation scripts during import.
Four Ontraport Features HubSpot Cannot Replace
Not a workaround away. If a client depends on one of these, it belongs in the conversation before the contract.
Postcards (Direct Mail)
HubSpot has no native direct mail. Use third-party integration (Lob, PostPilot, Sendoso).
Upsells / One-Click Upsells
HubSpot has no native upsell functionality. Use e-commerce platform or ThriveCart/SamCart.
Order Fulfillment
HubSpot has no native fulfillment management. Use e-commerce platform or dedicated fulfillment service.
Affiliate / Partner Management
HubSpot has no native affiliate management. Use PartnerStack, Impact, Rewardful, or Post Affiliate Pro.
The 45 Items That Get Rebuilt by Hand
This is the list that separates a quote that holds from one that does not.
Data And Objects
Tag Structure
Ontraport organises contacts largely by tag rather than by field.
HubSpot: Properties, lifecycle stages and lists
The largest design decision in this migration. Each tag has to be sorted into a property value, a lifecycle stage or a list. Importing every tag as its own property produces a database nobody can use.
Lists, Groups and Segments
Saved audiences built over contacts and their behaviour.
HubSpot: Static lists and active lists
Groups are rules rather than memberships. Rebuild the criteria or they freeze at import.
Custom Objects and Relationships
Ontraport custom objects and the links between them.
HubSpot: Custom objects and associations
Custom objects are plan-dependent. Confirm what the client is buying before designing the model, because the fallback is collapsing them into properties.
Transaction and Order History
Purchases recorded against a contact.
HubSpot: Deals, or a custom object
Ontraport is a commerce platform as well as a CRM. Order history drives the post-purchase automations below, so decide its home before rebuilding any of them.
Membership Data
Who has access to which paid content.
HubSpot: No equivalent, needs a dedicated membership platform
HubSpot does not run a membership site. This is a separate product purchase and a separate migration, and it should be settled before the contract.
Product Catalogue
The products sold through Ontraport.
HubSpot: Products and line items
Import before deals or line items have nothing to attach to.
Affiliate and Partner Data
Affiliates, their links and commissions owed.
HubSpot: No equivalent, needs a dedicated affiliate platform
HubSpot has no affiliate tracking. If the business runs on affiliates, this is a replacement product rather than a migration task.
Suppression and Opt-out Lists
Unsubscribed and suppressed addresses.
HubSpot: Unsubscribed contacts and the opt-out list
Import before the first send. This is the one migration error a client always hears about.
File Attachments and Media Assets
Files held on records and in the media library.
HubSpot: Attachments and the file manager
Media referenced by emails and pages has to move before those assets are rebuilt, or every rebuilt page has broken images.
Lead Source and UTM Tracking Data
Where a contact came from and the campaign parameters recorded.
HubSpot: Source properties and campaign tracking
This drives the ROI reporting below. Map it to real properties before the import rather than leaving it in tags.
Automation
Campaign Sequences
Ontraport campaigns, its main automation construct.
HubSpot: Workflows
Rebuilt entirely. This is the largest single line in an Ontraport migration and it is design work rather than translation, so scope it that way.
Visual Campaign Builder Logic
The branching drawn on Ontraport's campaign canvas.
HubSpot: Workflow branching logic
Capture each campaign visually before access ends, because the logic does not export readably. Walk each branch with whoever owns the campaign.
Goal-based Campaign Triggers
Goals that pull a contact forward from anywhere in a campaign.
HubSpot: Workflow goals and enrolment criteria
HubSpot models goals differently and more narrowly. Goal-heavy campaigns need redesigning rather than porting.
Post-purchase Automation
Sequences that fire when a payment succeeds or fails.
HubSpot: Workflows driven by an external payment integration
There is no native payment trigger to replace Ontraport's. Whatever handles checkout after the migration has to feed HubSpot, and until that is chosen these cannot be rebuilt.
Lead Scoring Models
How Ontraport ranks contacts.
HubSpot: Score properties
Built from scratch. The old weights are a starting hypothesis.
SMS Automation
Text sends inside campaigns.
HubSpot: HubSpot SMS or a marketplace SMS app
Consent records move with the numbers. Confirm the SMS route before scoping.
Task and Internal Notification Automation
Rules creating tasks and alerting staff.
HubSpot: Workflow task actions and internal notifications
Split across notification settings and workflows in HubSpot, so check both rather than rebuilding half.
Date-based Automation Triggers
Sequences keyed to a date on the contact record.
HubSpot: Date-based workflow enrolment
Needs the source dates as real date properties, which is an import decision before it is a workflow one.
Dynamic Email Content
Content blocks that change per recipient.
HubSpot: Smart content
Smart content is plan-dependent and its rules work differently. Confirm availability, then rebuild the rules rather than the blocks.
Reporting
Campaign Performance Reports
Per-send and per-campaign reporting.
HubSpot: Marketing email and campaign analytics
Historical sends do not transfer. Export a final set before the account closes.
Sales Pipeline and Revenue Reports
Reporting over deals and revenue.
HubSpot: Deal reports
Depends on where transaction history landed. Sequence this after that decision.
Membership and Course Engagement Reports
Reporting on who consumed which content.
HubSpot: No equivalent, follows the membership platform
Reporting lives wherever membership lives. It cannot be scoped until that choice is made.
Affiliate Commission Reports
What each affiliate earned.
HubSpot: No equivalent, follows the affiliate platform
Same dependency as affiliate data. This reporting leaves HubSpot entirely.
Attribution and ROI Reports
Revenue credited back to campaigns and sources.
HubSpot: Attribution and campaign reporting
Attribution is plan-dependent on HubSpot. Confirm it is included in what the client is buying, and check the audited feature list for the tier.
Custom Saved Reports and Dashboards
Saved report and dashboard definitions.
HubSpot: Custom reports and dashboards
Rebuild from the question each answers rather than the layout.
Sales And Marketing Config
Email Templates
Branded send templates from Ontraport's editor.
HubSpot: Marketing email templates
No import path between editors. Rebuild from brand assets rather than pasting exported HTML.
Landing Pages
Ontraport hosted pages.
HubSpot: Landing pages
Rebuilt page by page. Redirect any URL linked from ads or printed material.
Sales Pages and Checkout Flows
The pages that take payment.
HubSpot: No equivalent, needs a checkout product
HubSpot does not replace an order form and checkout. This is a product decision that gates the post-purchase automation above, so make it early.
Web Forms
Forms capturing contacts into Ontraport.
HubSpot: Forms
Swap every embed at cutover or contacts keep arriving in the old system.
Order Forms and Upsell Pages
The order bump and upsell flow after a purchase.
HubSpot: No equivalent, needs a checkout product
Same decision as checkout. Whatever is chosen has to support the same upsell sequence or the revenue model changes.
Sales Pipeline Stages
Ontraport's sales stages.
HubSpot: Deal pipelines and stages
Build first. Everything downstream depends on it.
Lead Scoring Rules
The rules that add and subtract score.
HubSpot: Score properties
Redesigned rather than copied, since the available signals differ.
Direct Mail Campaigns
Postcard and print sends triggered from Ontraport.
HubSpot: No equivalent, needs a third-party tool
Ontraport prints and posts physical mail, which HubSpot does not. If the client uses this, price the replacement rather than assuming it moves.
SMS Campaigns
One-to-many text sends.
HubSpot: HubSpot SMS or a marketplace SMS app
Scope together with SMS automation rather than twice.
Membership Site Content
The paid content itself.
HubSpot: No equivalent, needs a dedicated platform
Content and access control both move to a new platform. Treat it as its own project running alongside the CRM migration.
Users And Permissions
User Accounts
Logins and their access levels.
HubSpot: Users and permission sets
Created before the import so record ownership resolves.
Role-based Permissions
What each role may see and do.
HubSpot: Permission sets
Map intent rather than the matrix, and confirm any control the client considers non-negotiable.
Sales Rep Assignment Rules
How records are distributed across reps.
HubSpot: Workflow rotation actions
Users and teams first, then test distribution with real records.
Commission Tracking
What each rep is owed on a sale.
HubSpot: No equivalent
HubSpot will hold the numbers but will not calculate commission. Confirm where that calculation lives after the migration.
Integrations
Third-party App Connections
Connectors joining Ontraport to the rest of the stack.
HubSpot: App Marketplace integrations
Reconnected individually, checking field mapping on each.
Custom API Integrations
Bespoke code written against the Ontraport API.
HubSpot: HubSpot APIs
Rewritten against a different object model. Scope against the code rather than a description of it.
Payment Gateway Connections
The gateways taking money through Ontraport.
HubSpot: Connections owned by the new checkout product
Gateways reconnect to whatever replaces checkout, not to HubSpot. Sequence this after that product is chosen.
Zapier Automations
Zaps connecting Ontraport to other tools.
HubSpot: Updated Zapier scenarios or native workflows
Each needs editing on both sides. Some become unnecessary once HubSpot is the CRM.
WordPress Plugins
Ontraport plugins embedding forms and gated content on the site.
HubSpot: The HubSpot WordPress plugin
Forms and tracking swap cleanly. Anything gating content depends on the membership decision above.
Membership Platform Integration
The link between the CRM and wherever membership ends up.
HubSpot: A marketplace integration or custom work
Only scopable once the membership platform is chosen. Flag it as a dependency rather than an estimate.
The Sequence
Sync First, Then Migrate
Order is the content here. These are a dependency chain, and running them out of order is a documented way these migrations fail.

Effort Estimator
How Big Is This Migration?
A handful of questions, no email required. The ranges come from the research above: every feature we mapped carries an effort figure, and this adds up the ones that apply to you.
Estimated Effort
Answer a couple of questions and an hours range appears here.
Built from our research on 40 Ontraport features. It is a range, not a quote.
A planning range, not a quote. It is delivery effort only, with no project management line and no agency markup, so add your own. What moves it most in practice is data quality.

Questions
Ontraport To HubSpot, Answered
Yes. Data sync, two way, covering 4 objects. What it does not do is rebuild configuration: that is the 45 items below.
Typically 8-12 weeks. Complexity is driven by automation and reporting depth, not by record count: the connector moves records, so a large database is not by itself a long project.
Of 40 features we mapped, 21 (52%) carry across directly and 15 (38%) map partially, meaning something is lost or reshaped. 4 have no HubSpot equivalent at any tier.
45 items have to be rebuilt by hand, and 8 documented limitations are not surfaced by the connector at all. The full list of both is on this page.
Free HubSpot CRM or higher
4: Postcards (Direct Mail), Upsells / One-Click Upsells, Order Fulfillment, Affiliate / Partner Management. If a client depends on one, it belongs in the conversation before the contract.
Only in one direction. The sync is not bidirectional here, so a parallel period means picking a system of record and accepting drift in the other.
