Contacts

Default matching by email address. vTiger distinguishes between Contacts (people with accounts) and Leads (unqualified prospects).

Seven Things the Sync Does Not Tell You

Each one is documented, and each one has ended a migration in a bad week.

Leads (unqualified) Require Separate Handling

vTiger distinguishes between Leads (unqualified) and Contacts (qualified, associated with organizations). HubSpot treats all people as Contacts with lifecycle stages. vTiger Leads may need conversion or separate import.

Workaround: Convert vTiger Leads to Contacts before sync, or export Leads separately and import into HubSpot as Contacts with a 'Lead' lifecycle stage.

Notes, Calls, and Activity History Do Not Transfer via Standard Migration

Notes, call logs, and other activities from vTiger cannot be uploaded to HubSpot through standard CSV import. Individual notes on individual records require special handling.

Workaround: Use the vTiger API to extract notes and activities with timestamps and associations. Import into HubSpot via the Engagements API. For simpler migrations, archive notes as a text blob in a custom HubSpot property.

Custom Modules Do Not Transfer

vTiger is highly customizable with custom modules (e.g., custom inventory, service contracts, project modules). These custom module structures and data have no automatic migration path to HubSpot.

Workaround: Map custom modules to HubSpot custom objects (Enterprise tier), custom properties on standard objects, or third-party tools. Requires careful data architecture planning.

Inventory/Products and Quotes Do Not Sync

vTiger has built-in inventory management (Products, Services, Price Books) and Quotes/Invoices modules. These do not sync via the HubSpot Data Sync.

Workaround: Export products and recreate in HubSpot's Products library. Rebuild quote templates in HubSpot. Invoice data may need a separate accounting integration.

Documents and File Attachments Require Manual Migration

Files attached to vTiger records (documents module, attachments on contacts/opportunities) do not transfer through the Data Sync or CSV export.

Workaround: Download documents from vTiger's document management system. Re-upload to HubSpot file manager or attach to individual records via API.

vTiger System IDs Should Not Be Migrated

vTiger system fields like Contact ID, Org ID, and Deal ID are internal identifiers that serve no purpose in HubSpot.

Workaround: Exclude system ID fields from migration. Optionally store the original vTiger ID in a custom HubSpot property for cross-reference during transition period.

Dropdown and Multi-select Field Limitations

HubSpot Data Sync has known limitations with dropdown, radio select, and checkbox fields. These may sync as one-way text values only.

Workaround: Verify field type mappings after setup. Create compatible properties in HubSpot if needed.

One vTiger CRM Feature HubSpot Cannot Replace

Not a workaround away. If a client depends on one of these, it belongs in the conversation before the contract.

Purchase Orders

HubSpot has no purchase order management. Requires ERP integration (QuickBooks, NetSuite, SAP).

Leads

vTiger keeps unqualified prospects as leads, separate from contacts.

HubSpot: Contacts with lifecycle stage

HubSpot has one contact record, so a lead and the contact it converted into are the same row. Decide how to reconcile duplicates before the import, because correcting it later means reprocessing everything.

Notes and Activity History

Calls, meetings, emails and notes logged against records.

HubSpot: Activities on the record timeline

Needs API extraction rather than a CSV export. Budget it explicitly instead of assuming it comes with the records.

Custom Module Data

Records held in modules built specifically for this instance.

HubSpot: Custom objects

Custom objects are plan-dependent. Confirm what the client is buying before designing the mapping, or the data collapses into properties.

Products, Services and Price Books

What is sold and at what price to whom.

HubSpot: Products and line items

HubSpot has one product library rather than multiple price books. Where price books encode customer-specific pricing, that logic moves into line items or a quoting tool.

Quotes and Invoices

Documents issued to the customer.

HubSpot: Quotes, with invoicing in an accounting tool

HubSpot quotes cover simple pricing and do not replace invoicing. Confirm where invoices live after the migration before promising anything.

Documents and File Attachments

Files held against records.

An API pass after the records land, re-associating each file.

Cases and Tickets

vTiger's support records.

Build the ticket pipeline before importing or everything lands in the default stage.

Projects

No direct equivalent. Decide whether delivery lives in HubSpot at all before scoping, because that answer changes the project size.

Campaigns and Campaign Members

Marketing campaigns and who was targeted by each.

Campaign membership becomes list membership. Historical campaign results do not carry, so reporting restarts.
