Contacts
Two wayBecomes Contacts
Email address is the primary deduplication key. HubSpot splits full names into First Name and Last Name if Zoho uses a single field.
Leads
Two wayBecomes Contacts
Zoho Leads map to HubSpot Contacts with a lifecycle stage of 'Lead'. Zoho treats Leads as a separate object that converts into Contact + Account + Deal; HubSpot has no separate Lead object (all people are Contacts with lifecycle stages). This is a fundamental data model difference that requires careful handling.
Accounts

Company name and domain are used for deduplication. When an app has both a company name and company domain field, HubSpot will match records if they share the same company name but different domain, and vice versa.
Deals (Potentials)

Deal stage values must match the Label in HubSpot exactly. Pipeline stages should be configured in HubSpot before syncing. Deal associations with contacts and companies are maintained where possible.

Zoho custom modules sync to HubSpot custom objects, which requires HubSpot Enterprise. Listed as a shared object on the app's HubSpot marketplace listing (read 2026-07-31); no default field mappings are published for it.
Nine Things the Sync Does Not Tell You
Each one is documented, and each one has ended a migration in a bad week.
Lead Object Model Mismatch
Zoho CRM treats Leads as a separate object type that converts into Contact + Account + Deal upon qualification. HubSpot has no separate Lead object - all people are Contacts with lifecycle stages. This fundamental difference means Lead conversion workflows and lead-specific automations must be completely redesigned.
Workaround: Map Zoho Leads to HubSpot Contacts with lifecycle stage set to 'Lead'. Use HubSpot lifecycle stage automation to replicate the Zoho lead conversion process.
Modified by Field Required for Zoho Sync
Before syncing, the 'Modified By' field must be added to all Zoho CRM objects you want to sync to HubSpot. Without this field, the sync cannot detect changes.
Workaround: Add the Modified By field to each Zoho CRM module layout before connecting the integration.
Field Type Incompatibilities
Zoho CRM field types like decimal, lookup, and multi-select picklists may not have direct equivalents in HubSpot. Picklist values (e.g., industry types, lead sources) must match exactly between systems or sync will fail for those fields.
Workaround: Audit and align picklist values before enabling sync. Create custom HubSpot properties with matching field types where possible.
Activities and Engagement History Do Not Sync via Data Sync
The native Data Sync integration does not transfer activities (calls, tasks, events), notes, or email engagement history between Zoho and HubSpot. These are considered 'soft data' and require separate handling.
Workaround: Use Smart Transfer for one-time activity migration, CSV export/import for notes, or third-party migration tools like Trujay or Import2.
Attachments Do Not Sync via Data Sync
File attachments on Zoho records cannot be transferred through the native Data Sync. They require separate migration handling.
Workaround: Use Smart Transfer's post-sync one-time transfer feature, or manually download and re-upload attachments.
Custom Modules Require Enterprise and Are Not Supported by Smart Transfer
Zoho CRM custom modules do not sync via the native Data Sync integration. HubSpot custom objects require Sales Hub or Service Hub Enterprise. Smart Transfer does not support custom object transfer.
Workaround: Migrate custom module data via CSV export/import or API. Requires HubSpot Enterprise subscription.
Zoho Purchase Orders and Sales Orders Have No Direct HubSpot Equivalent
Zoho CRM natively generates quotes, invoices, purchase orders, and sales orders. HubSpot only supports quotes natively, and even then with limitations compared to Zoho.
Workaround: Use HubSpot's native Quotes tool for quotes. For invoices, integrate with accounting software (QuickBooks, Xero) or use HubSpot Revenue Hub.
Original Source Field Not Customizable in HubSpot
HubSpot's 'Original Source' property is system-managed and cannot be customized with referral names or custom source values the way Zoho allows.
Workaround: Create a custom HubSpot property (e.g., 'Zoho Lead Source') to preserve the original Zoho source data.
Free Tier Limited to Default Field Mappings Only
The free HubSpot Data Sync only syncs default/standard fields. Custom field mappings require a Data Hub (Data Hub) Starter subscription ($15/month/seat).
Workaround: Upgrade to Data Hub Starter for custom field mapping capabilities.
Five Zoho CRM Features HubSpot Cannot Replace
Not a workaround away. If a client depends on one of these, it belongs in the conversation before the contract.
Purchase Orders
HubSpot has no purchase order functionality. Would need custom objects (Enterprise) or external system integration (e.g., QuickBooks, NetSuite).
Zia Recommendation Engine
HubSpot does not have a built-in product recommendation engine. Can be replicated with custom reporting, playbooks, or third-party integrations.
Zia Voice
HubSpot does not offer voice-based CRM interaction.
Email Parser
HubSpot does not have a built-in email parser. Can be replicated with Data Hub custom code or third-party tools like Zapier/Parseur.
Check-in (Geo Location)
HubSpot does not have a native check-in or field sales tracking feature. Third-party integrations like Badger Maps or Map My Customers can add this.
Three Things a Migration Does Not Rebuild
These are Zoho CRM's own code and products. A HubSpot migration does not port them, so they carry no hours in any estimate. They still need a decision, because the client is giving something up.
Custom Functions (Deluge)
All Deluge scripts must be rewritten in JavaScript (Node.js) or Python. Business logic must be translated and tested. This is often the most labor-intensive part of migration.
Widgets (Custom UI Components)
Widgets must be completely rewritten as HubSpot CRM extensions. Different SDK and rendering model.
Client Scripts
Client scripts must be rebuilt as CRM extensions or custom cards. Many UI customizations may not be directly replicable.

Custom Modules / Custom Objects
Zoho CRM custom modules must be recreated as HubSpot custom objects. Schema, relationships, and data all require manual setup.
Products and Line Items
Zoho Products catalog needs to be rebuilt in HubSpot's Products library with pricing, SKUs, and descriptions.
Invoices and Purchase Orders
Zoho's native invoicing, purchase orders, and sales orders have no direct equivalent in HubSpot CRM.
Automation
Workflow Rules and Automation
Zoho Workflow Rules, Blueprints, and automation logic must be completely rebuilt. The logic structures differ fundamentally between platforms - no direct translation is possible.
Blueprints (process Management)
Zoho Blueprints define complex multi-step business processes with approval gates. These must be redesigned using HubSpot's workflow engine.
Assignment Rules
Lead and record assignment rules must be recreated in HubSpot.
Scoring Rules
Zoho lead scoring rules need to be rebuilt using HubSpot's lead scoring tool.
Email Templates and Mail Merge
Zoho email templates must be recreated in HubSpot. Mail merge functionality works differently.
Scheduled Actions and Escalation Rules
Zoho's scheduled actions and escalation rules need to be rebuilt as HubSpot time-based workflows.
